Introduction


Key Considerations:

1.AI should not replace decision-making authority: While we can use AI to support professional work, it

should not be used to make decisions that impact professional and personal choices.

2.Always safeguard teachers’ and students’ data: While we can use AI to aid with analysing copious

amounts of data, we need to be mindful of data classification and guard against data leakage or misuse.


Administrative tasks like procurement and risk assessment require a certain degree of domain knowledge

from human experts and the cost of incorrect recommendations made by the AI will be significant to both

students and staff. Humans should therefore remain accountable for and in control of all professional

decisions made. Ways in which AI can be used to support administrative tasks should be explicitly

outlined.

While GenAI offers significant time-saving potential, in using it, we need to uphold our duty of care to protect

students and staff from foreseeable risks as well as to maximise their interests and well-being. It is thus imperative

that humans continue to make professional decisions. This means that decision-making in education should

never be automated or offloaded to AI. In instances when it is used to augment the decision-making process, we

need to:

AI TOOLS FOR PRODUCTIVITY


The text-processing capabilities of GenAI make it a useful tool for automating various tasks in teachers' day-

to-day work, such as organising information or generating content for forms and templates. However, such


work could also involve working with more sensitive student information (e.g., from school cockpit) or

making decisions that directly affect students’ educational opportunities (e.g., selection of students for

at-risk or talent programmes).


Establish clear and responsible ways to use it

At the stage of drafting procurement requirements/specifications

GenAI may be used to generate/refine an initial draft, but this should always be reviewed by

the human and amended based on professional knowledge and expertise.

Commonly-used GenAI productivity tools (e.g., ChatGPT, Notion AI, Canva AI)

could operate with unclear data handling practices. For example, data

retention policies could also be absent or vague in the ‘Terms of Service’

.


Some tools may not be clear about the underlying AI model providers or

whether there are legally-binding commitments that data will not be logged,

stored or retained.

Some productivity and data processing tools (e.g., Tableau, Google Forms)

may embed AI capabilities that are not explicitly labelled or visible to

users, making it difficult to identify when and how AI is processing data.

Public platforms and Commercial-Off-The-Shelf tools such as ChatGPT and

SchoolAI should only contain Official (Open) and Non-Sensitive

information, which is data/ information that is disclosed to the public.

What are some

considerations for

safeguarding data

when GenAI is used for

productivity?


Always check the data privacy and security policies of tools

Opt out of data collection and data usage for model training by accessing the tool’s privacy

settings before using it.


Ensure that the input data is within the permitted security and sensitivity

classification of the AI application and review confidentiality of output data.

Anonymise identifiable information in input data before submission. Easily identifiable

data, including student name tags and class information in photos and videos, should not

be submitted to public platforms.

Use Case: Safeguarding students’ data when using AI to support remarks and testimonial writing

Teachers can use GenAI to support testimonial and remarks writing as long as students are de-identified. As

students' testimonials contain information and can be attributed to identified individuals, this information is

classified as "Official (Closed) \ Sensitive"

.


However, by de-identifying students, the information can be classified "Official (Closed) \ Non-sensitive" and be

input into GenAI. This aligns with AI Development Group’s (AIDG) guidelines for use of public/commercial Large

Language Models (LLMs).

HOW CAN I DE-IDENTIFY STUDENTS?

Testimonials contain sensitive information (e.g. areas for improvement), that could cause some emotional distress

or social stigma to the individual when disclosed. To de-identify a student, a placeholder, for example ‘X’


, can be

used when describing the individual. Other information that can identify the student (e.g. school, class) should also

be replaced with placeholders.
